Workflow Discovery & Scoring

Learn to identify and evaluate the best automation opportunities. Use the Automation Opportunity Scoring framework to prioritize which workflows to pitch for AI agent pilots.

Key Concepts

Workflow Discovery is the foundational skill for selling AI agents. The key to a successful engagement is finding the RIGHT workflows to automate. Not every process is a good candidate -- the art is in identifying high-impact, low-risk automation opportunities that deliver quick wins and build confidence.

Automation Opportunity Scoring is a structured framework for evaluating any workflow across 5 dimensions, each scored from 1 to 5, for a total possible score of 25. This gives you an objective, repeatable way to prioritize opportunities and have data-driven conversations with prospects.

The 5 Scoring Dimensions

DIMENSION 01
Volume
How frequently is this task performed? 1 = rarely, 5 = hundreds per day. High-volume tasks yield the biggest ROI from automation.
DIMENSION 02
Rules Clarity
How well-defined are the decision rules? 1 = highly subjective, 5 = clear rules/criteria. AI agents excel when rules are explicit.
DIMENSION 03
Data Availability
Is the required data digitized and accessible? 1 = paper/siloed, 5 = fully digital/API. Data readiness is often the biggest blocker.
DIMENSION 04
Cost of Human Execution
How expensive is the current human process? 1 = low cost, 5 = very expensive. High-cost processes have the clearest business case.
DIMENSION 05
Risk Tolerance
How acceptable is occasional AI error? 1 = zero tolerance, 5 = errors are recoverable. Lower risk tolerance may require human-in-the-loop.

Scoring Thresholds

20-25 High Priority for Pilot -- immediate candidate
15-19 Good Candidate -- worth pursuing with right framing
10-14 Needs More Evaluation -- may need data readiness work
<10 Low Automation Potential -- not suitable for current AI
